When Your Auditors Ask for Evidence, the Clock Starts
A real customer story from Ello Technology

Naledi is the Managing Partner of an accounting firm with five branches.
Every day, her focus is on the quality of the work her firm signs off, the clients who rely on it, and the people who do it.
Her firm audits other businesses for a living.
So when her own firm came up for audit, she knew exactly how the request would arrive, and exactly how little patience an auditor has for a promise.
The request landed on a Wednesday.
Show us your backup logs.
Show us your settings.
Show us your data retention controls.
And have them signed.
The Hidden Challenge
Nothing was broken.
The backups ran. The data was safe. The controls existed.
But existing and being able to prove it are two different things.
The evidence lived in several places at once. Some of it in a system. Some of it in somebody's memory. Some of it in the way things had always been done.
None of it was written down in a form an auditor would accept.
And nobody had ever been asked to sign their name to it.
Why It Mattered
For Naledi, this was never about technology.
It was about the credibility of a firm that tells other businesses to keep their house in order.
An audit finding against her own controls would not have been a technical problem. It would have been a conversation with partners, and eventually with clients.
The deadline was not negotiable, and it was days away.
The Decision
Naledi did not ask for a project.
She asked a simple question of the people who look after her systems: can you produce this, and will you put your name on it?
It is a fair question, and it is the one most firms never think to ask until the week they need the answer.
What Ello Helped Naledi See
Before producing anything, Ello started with what the auditor would actually test.
Where does the firm's working data really live, and how does it sync?
Where are completed audits stored, and who can reach them?
What happens, step by step, when someone leaves?
Who would stand behind the answer in writing?
The questions were not about software. They were about the firm.
Once they were answered plainly, the evidence almost wrote itself.
The Journey
The backup logs and settings were produced as exhibits, exactly as an auditor expects to receive them.
Alongside them, a written control narrative: where operational data lives and how it is continuously synchronised, where completed audits are held, and the documented offboarding protocol that archives a departing employee's files and converts their mailbox so nothing is lost and nothing is left open.
The wording was then amended to match how Naledi's firm describes itself, not how a supplier would.
And it was digitally signed by the business unit leader responsible for it.
What Changed
The request arrived on a Wednesday.
The signed evidence was returned within forty-eight hours.
Naledi's reply was three words: this is perfect.
But the real change was not the deadline that was met.
It was that the firm now holds a document it can hand over next year, and the year after, without starting again.
The Real Outcome
For Naledi, the outcome was not a passed audit.
It was the end of a quiet uncertainty.
She now knows what her controls are, where the evidence sits, and who will sign for it.
That is a different way to run a firm than hoping the question does not come.
What Other Managing Partners Can Learn
Here is the method, and you are welcome to it.
Write your control narrative before anyone asks for it.
Three paragraphs is enough. Where the data lives. How it is backed up. What happens when someone leaves.
Store it where you store your policies. Review it once a year. Have somebody senior put their name to it.
Do that, and the audit request stops being a project and becomes an email with an attachment.
Most firms only discover whether they can produce this evidence on the Wednesday they are asked.
That is a poor day to find out.
Can Your Firm Produce Its Evidence This Week?
If you are not certain, that uncertainty is the finding.
Book a business performance review with Ello Technology. You will leave with a written score against the controls your audit will actually test, and a clear view of what is already in place.
